About the Role

We are seeking a highly organized, professional, and proactive Office Administrator to oversee the day-to-day operations of a busy law firm. The ideal candidate will have 3–5 years of administrative experience, strong organizational skills, excellent communication abilities, and a working understanding of accounting and office operations. Experience working within a law firm or professional services environment will be an added advantage.

Minimum Requirements

  • Diploma or Bachelor’s Degree in Business Administration, Office Administration, Human Resource Management, Commerce, or a related field.
  • 3–5 years’ experience in office administration, operations, or executive support.
  • Proficiency in Google Workspace (Gmail, Google Docs, Sheets, Drive, Calendar).
  • Basic accounting and bookkeeping knowledge.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Well-groomed with excellent client-facing skills.
  • Experience working in a law firm will be an added advantage.

Key Responsibilities

Office Administration & Operations

  • Manage day-to-day office operations to ensure efficiency and professionalism.
  • Coordinate office supplies, equipment maintenance, and service providers.
  • Maintain organized physical and digital filing systems.
  • Schedule meetings and appointments, and manage office calendars.
  • Prepare correspondence, reports, presentations, and administrative documents.

Client Service & Front Office Management

  • Welcome clients and visitors professionally.
  • Handle incoming calls, emails, and inquiries.
  • Coordinate client appointments and meetings.
  • Ensure a positive client experience and timely communication.

Legal Administrative Support

  • Assist with preparation, formatting, filing, and organization of legal documents.
  • Maintain case files and document records.
  • Track court dates, deadlines, and lawyer schedules.
  • Ensure confidentiality of sensitive client and legal information.

Finance & Accounting Support

  • Manage petty cash and maintain accurate records.
  • Process invoices and track payments.
  • Support basic bookkeeping and expense tracking.
  • Assist with payroll administration and statutory compliance documentation.
  • Support month-end reconciliations and financial record maintenance.

HR & Office Coordination

  • Support onboarding of new employees.
  • Coordinate leave records and staff administrative documentation.
  • Assist in implementing office policies and procedures.
  • Organize internal meetings and staff activities.
