Location: Onsite | Nairobi, Kenya
Salary: KES 40,000 – 50,000 Net (Based on Experience)

About the Role
We are seeking a highly organized, professional, and proactive Office Administrator to oversee the day-to-day operations of a busy law firm. The ideal candidate will have 3–5 years of administrative experience, strong organizational skills, excellent communication abilities, and a working understanding of accounting and office operations. Experience working within a law firm or professional services environment will be an added advantage.
Minimum Requirements
- Diploma or Bachelor’s Degree in Business Administration, Office Administration, Human Resource Management, Commerce, or a related field.
- 3–5 years’ experience in office administration, operations, or executive support.
- Proficiency in Google Workspace (Gmail, Google Docs, Sheets, Drive, Calendar).
- Basic accounting and bookkeeping knowledge.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Well-groomed with excellent client-facing skills.
- Experience working in a law firm will be an added advantage.
Key Responsibilities
Office Administration & Operations
- Manage day-to-day office operations to ensure efficiency and professionalism.
- Coordinate office supplies, equipment maintenance, and service providers.
- Maintain organized physical and digital filing systems.
- Schedule meetings and appointments, and manage office calendars.
- Prepare correspondence, reports, presentations, and administrative documents.
Client Service & Front Office Management
- Welcome clients and visitors professionally.
- Handle incoming calls, emails, and inquiries.
- Coordinate client appointments and meetings.
- Ensure a positive client experience and timely communication.
Legal Administrative Support
- Assist with preparation, formatting, filing, and organization of legal documents.
- Maintain case files and document records.
- Track court dates, deadlines, and lawyer schedules.
- Ensure confidentiality of sensitive client and legal information.
Finance & Accounting Support
- Manage petty cash and maintain accurate records.
- Process invoices and track payments.
- Support basic bookkeeping and expense tracking.
- Assist with payroll administration and statutory compliance documentation.
- Support month-end reconciliations and financial record maintenance.
HR & Office Coordination
- Support onboarding of new employees.
- Coordinate leave records and staff administrative documentation.
- Assist in implementing office policies and procedures.
- Organize internal meetings and staff activities.
